PearsonAccessnext is the online test management system Minnesota uses to administer OLPA, MCA, and MTAS. Users sign in to create and manage users, set up test sessions for online testing, and access results for the applicable assessments.

This is the Minnesota Reference Page for the PearsonAccessnext Online User Guide. It outlines the differences in Minnesota's tasks and functions in PearsonAccessnext relative to what appears in the PearsonAccessnext Online User Guide. The PearsonAccessnext Online User Guide is generic to all states and programs that use PearsonAccessnext.

The PearsonAccessnext Online User Guide addresses all functionality in PearsonAccessnext. Minnesota has also has created quick guides that address specific tasks, like online testing and data entry.

NOTE: This page will continue to be updated as additional functionality is developed for Minnesota.

Accessing PearsonAccess Next

To access PearsonAccessnext , go to PearsonAccessnext at http://minnesota.pearsonaccessnext.com and then select View PearsonAccessnext. Select Sign in toPearsonAccessnext. You can also use http://mn.pearsonaccessnext.com.

Using PearsonAccess Next 

Tasks listed on this page are in as close to chronological order as possible. The timing of some tasks may overlap.

Some features are only available to some user accounts. Each user account has a user role(s) and permissions associated with it. These permissions control the data the user can view and actions the user can perform. If you do not see a specific feature, your account is not configured to access it. For more information, see Minnesota's PearsonAccessnext and Training Center User Role Matrix, available on PearsonAccessnext under Resources & Training > User Guides.

Getting Started

  1. Confirm that the computers you will use to monitor and manage testing meet the stated System Requirements for PearsonAccessnext.
  2. Learn the System Basics.
  3. Learn how to Import and Export DataMinnesota users can export user account files and student test eligibility information, but only the user account file can be imported.

Set Up Technology Configurations

Prepare TestNav configurations in PearsonAccessnext for online testing. See the Technology Resources page on PearsonAccessnext for more information.

  1. Configure Response File Backup Locations.
  2. Understand Proctor Caching.
  3. Create a configuration, as described in Configure TestNav for Proctor CachingPearson recommends using precaching by test to ensure all content is cached ahead of time.

Set Up User Accounts

For Minnesota, the only task required for setting up users is to create and edit user accounts for district and school staff.  You can also view other information, but this other information cannot be edited. NOTE: Districts cannot create District Assessment Coordinator (DAC) accounts in PearsonAccessnext.

PearsonAccessnext accounts for DACs are automatically created after the DAC is designated in MDE-ORG on the MDE website. 

If a DAC or AA user role is assigned, no other roles are needed. All permissions are included in these roles at an organization level (district or school). NOTE: If a user has the role of Technology Staff, Test Monitor / Data Entry, or MTAS Score Entry, but must also perform tasks associated with another of these roles, an additional role may be assigned to the user.

Minnesota names some tasks differently from standard terms shown in the user guide. Although the terms differ, the functionality is the same, except as outlined below.

Manage Users 

Provide users with access to both PearsonAccessnext and the Training Center, as needed. After creating a user account in one site, the DAC or AA will need to create a user account in the second site. The DAC or AA will need to create the second account using the same username that that was indicated for the first user account. Using the same username will link the two accounts so the user will only need one set of login credentials to access both sites. 

Prepare for Testing

There are a variety of tasks related to preparing for testing. Some of these tasks are view-only for Minnesota.

Student eligibility data is loaded into PearsonAccessnext from precode files sent by MDE and cannot be edited.

Use Setup > Students > Student Eligibility Data > View Student Tests to view the tests students are eligible for.

Accommodations information for MCA is loaded into PearsonAccessnext from precode files sent by MDE and cannot be edited in PearsonAccessnext.

Accommodated text-to-speech for OLPA is not received from precode files sent by MDE. If a student requires accommodated text-to-speech, it must be changed in PearsonAccessnext prior to the student logging in to test.

Use Testing > Students in Sessions > (Select Students) > View Student Tests to confirm or edit accommodations (OLPA only).

Configure TestNav for Proctor Caching Pearson recommends precaching by test.
Manage Enrollment CountsView Test Materials

Test material information is loaded into PearsonAccessnext from precode files sent by MDE and cannot be edited. 

Use the top numbers in bold to see counts of materials that will be sent in the initial test materials shipment. Note that the bottom numbers labeled "Calc" are updated based on changes in precode and do NOT reflect what will come in the initial test materials shipment.

Unlock or Lock a Test

Locking a test is an optional function. It is recommended that tests are resumed shortly before students sign in, therefore locking tests is optional.

Move Students Between Online Test Sessions No changes from how this is described in the PearsonAccessnext Online User Guide.
Monitor or Change Student Status No changes from how this is described in the PearsonAccessnext Online User Guide.

Operational Reports

Operational reports provide users the ability to monitor PearsonAccessnext activity in a report view. All reports can be downloaded in CSV format; some operational reports may also be displayed on screen. Reports are available in the categories below. Users have access to report categories based on the PearsonAccessnext tasks to which they have access.

Access operational reports under Reports > Operational Reports. Verify that you have the correct test administration selected in the black bar at the top of the page.

NOTE: For MTAS, access reports of data entry status, are available under Reports > Score Entry Reports. Details are provided in the District Assessment Coordinator and Assessment Administrator Quick Guide for MTAS Score Entry.

Students & Registrations

Report Title

Minnesota-Specific Details

Student Registrations Report

Reports are run by test administration. Lists students who have eligibility for that test administration. NOTE: This report is not subject-specific, so if students have eligibility for at least one subject in a test administration, they will appear on this report. (Report is not applicable for MTAS.)

Student Registration Summary

 

Lists the number of students assigned to a test and the number of completed tests. (Report is not applicable for MTAS.)

Students with Online Test but not assigned to Session

Reports are run by organization and test. Lists students who have eligibility but are not in a test session.(Report is not applicable for MTAS.)

Students Tests that have been Assigned but have not yet Completed

Reports are run by organization and test. Lists students who both have eligibility for a test and have been added to a test session but have not completed the test.(Report is not applicable for MTAS.)

MTAS Scores without LCI Data ReportLists students whose scores have been entered without entering LCI data. (Report is not applicable for MCA.)

Online Testing (These reports are not applicable for MTAS.)

Session List

List of all sessions by organization.

Organizations that have Precaching Server Configuration

List of organizations that have a precaching server configuration. Option to select organizations with or without precaching configurations. 

Session Roster

Reports are run by organization and test. List of all students in all sessions.

Students Currently Testing Online

Reports are run by organization and test. List of students who have started testing but have not yet finished. Includes students in an Active, Resumed, or Resumed Upload status. 

Online Student Tests Marked Test Complete

Reports are run by organization and test. List of all student tests that have been marked complete, including the reason entered by the DAC or AA. Reports do not include whether or not a test / accountability code has been entered. 

Student Tests with a Test / Accountability CodeList of all student tests that have a test / accountability code indicated.

Orders & Shipment Tracking (These reports must be run under the applicable test administration.)

Material Summary

Reports are run by type of order and organization. List of orders by item name, item code, and quantity.

Material Detail

Reports are run by type of order and organization. List of orders by organization name and code, item name, item code, and quantity.

Packing List

Reports are run by Order ID. To find the Order ID, on the Home page, select Orders & Shipment Tracking under Setup. Find the Order ID of the shipment to track under the Order # column. Enter this number in the Order ID field on the Packing List screen. List of orders by shipment, box number, item, description, details, quantity, and material type.

Security Checklist

Reports are run by organization. List of orders by order number, organization name and code, item name, item number, quantity, and the begin and end serial numbers.
