The system is highly configurable. As a result, much of the data used in the system may be named in a way or be of a type that is unique to your testing program.
This page includes high level descriptions of the general categories of data fields you are likely to encounter in the system. See your testing program leadership for more precise information about the specific data files and fields, including:
- Data file layouts and format
- Expected file contents
- Field names
- Descriptions of the fields
- Valid values for those fields
The information on this page applies equally whether you are interacting with live data while logged in to the system or referring to the data contained in the files that are used when you Import and Export Data.
An organization is an entity in a customer's organizational hierarchy. Organization data generally includes, but is not limited to and may not always be called by these names:
The name of the organization.
|Type||The type of the organization, such as District, Public School, or Private School.|
|School Type||(Only for organizations that selected School as Type) The type of school, such as elementary, middle, or high school.|
The name of the person designated to serve as the point of contact between the organization and Pearson for testing activities and materials shipments.
The contact details for mailing and shipping may be the same as this one or different.
Address of the contact person. There are also entries for phone, fax, email, and so on.
|Mailing Contact Name|
The name of the person designated as the contact for anything sent through the mail to and from Pearson.
|Mailing Contact Address|
Address to which mail from Pearson will be sent. There are also entries for phone, fax, email, and so on.
|Shipping Contact Name|
The name of the person designated as the contact for anything shipped to a physical location.
|Shipping Contact Address|
Address to which materials will be sent. There are also entries for phone, fax, email, and so on.

A user is a person who is authorized to use PearsonAccess next system. User data generally includes, but is not limited to and may not always be called by these names:
|Username||For logging in to the system and tracking user activity.|
The user's actual name.
|The user's email address.|
|Organizations||Any and all organizations that the user's account is authorized to view data for or interact with for testing procedures.|
|Roles and Permissions||Designated responsibilities in the system and designated data and system functions the user's account has the ability to access and use.|
|Active Dates||The window of time during which the user's account is permitted to log in to the system.|

Students are the test-takers within an organization. Student data refers to student demographic data and test-related information.
Student data generally includes, but is not limited to and may not always be called by these names:
|Name||The student's name.|
|Date of Birth||The student's date of birth.|
|Student Code||A unique code identifying the student in the system.|
|District Code||The unique code of the district to which the student's information is connected.|
|School Code||The unique code of the school to which the student's information is connected.|
|Grade||The student's grade.|
|Teacher Name||The name of the teacher to whose class the student is assigned. This is sometimes replaced by a Class Name for the name of the classroom or something else.|
The following demographic entries are common categories, but each program records different data. Also, some record data in a small number of fields and others use a different field for each demographic entry, such as "Ethnicity" vs "White, Black, Hispanic, Asian, etc..."
|Gender||The student's gender.|
|Ethnicity||The student's ethnicity.|
|Free/Reduced Lunch Status||Whether the student receives government lunch assistance.|
|Migrant Status||Whether the student is a member of a family of migrant workers.|
|Personal Needs Profile||The personal needs profile (PNP) is a list of accommodations attached to a student record denoting any special requirements to enable the student to take a test.|
|Special Programs||A list of programs that the student is involved in, such as Gifted, English Language Learner, etc.|
|Test Code||Indicates the test to which the student is assigned. There will likely be additional fields indicating test session assignments, test form assignments, etc.|
