Operational reports are a set of standard reports which will help you with your assessment tasks. Depending on your program, the list of reports and data fields will vary.

How to Access Operational Reports

To view operational reports, follow these steps:

  1. From Reports > Operational Reports, select a type of report .

     

  2. You will be shown a list of available reports. Click the title of the report you want to view. This list is different for each testing program, based on the testing contract details.

  3. Some reports display information on the screen and also provide a download option. Other reports create a file that you can download. For the second type, if a report is not yet available or if you want a new one to be created, click Request Report Refresh and click Refresh Report.

  4. When a report is available for download, a download option will be listed on the page. Click to download a file with the requested information.

Reports are provided in CSV format and can be viewed using a spreadsheet program, such as Microsoft Excel.

List of Operational Reports 

The following is a list of operational reports, with high-level descriptions of each reports. Depending on your program, the list of reports will vary.

An organization is an entity in a customer's organizational hierarchy. For example, a state, a district, and a school are organizations. An organization must exist in the system before that organization can participate in testing or test-related activities. 

The organizational hierarchy provides a backbone or a framework that gives structure to the data that will be stored in the system. For example, all students, administrators, and teachers in the system must “belong” to an organization. Only after the organizational hierarchy is built can student data and user accounts be uploaded. For this reason, building the organizational hierarchy is one of the first tasks.

Students are the test-takers within an organization. Student data refers to student demographic data and test-related information. Student data must be entered into the system before students can be assigned to a test (online or paper).

Orders specify the quantity of testing-related materials to be shipped. Many orders for large quantities of testing materials are based on estimates of the numbers of students who are expected to test at any given customer location. 

  • Initial Orders (IO): A list of material created for a program based on the information from student data upload and the enrollment counts
  • Additional Orders (AO): Order placed for extra quantities of material to support a test administration. These are in addition to the initial orders placed.

 A user is an account holder in the system. User accounts are the primary method for granting and preventing access to the system. All user accounts are assigned to at least one organization. User accounts also contain a user's personal and system-related information such as their user ID and email address.

The organization to which a user account belongs defines what data the user will be able to view and manage. Each user account has a user role(s) and a set of permissions associated with it.

A user can only access data for their assigned organization(s) and the data for any organizations lower in the hierarchy. For example, if the user account is assigned to a school, the user only has access to data for that school. If the user account is assigned to a district, the user can access district data, as well as data from all the schools assigned to that district.
